HOTEL REGISTRATION AT THE EMBASSY SUITES OF GRAPEVINE

The hotel has provided us with our very own hotel reservation webpage online:

  • Call the Embassy Suites directly at (972) 724-2600 and ask for in-house reservations.

 

Guests can access the hotel registration page from TBD to TBD to learn more about the event and to book, modify, or cancel a reservation. Through that page, guests will receive our special hotel rate for the entire duration of your stay, valid from three days before the convention all the way until the Wednesday following the end of the convention, so you can stay in town a few extra days to explore the greater Dallas and Fort Worth areas.  

 

Our group rate is $159 + applicable taxes, per room night for a single or double room; $169 + applicable taxes, per room night for a triple or quad room. Per hotel policy, no more than four individuals are allowed to share a room. This rate is guaranteed until July 1 only; after that, reservations are made on space availability and you may have to pay a higher rate. You may still use the reservation page to book, modify or cancel.

 

 

Special Hotel Registration Instructions 

Collegiate Business and Collegiate Music Delegates, your hotel room is covered by the fraternity so when making your hotel reservation ...

  • Call IEO at (888) 259-1471 to make your hotel reservation. You will be placed with other collegiate delegates.
  • Others who wish to be assigned a roommate, or who will be rooming with an official Business or Music delegate, make your hotel reservation with IEO at (888) 259-1471. Note: If you are not an official delegate, you will be responsible for your portion of the room rate.
  • All other attendees make reservations directly with the Embassy Suites. You may use the special registration page described above, or if you prefer to make your reservation by telephone, call the hotel at TBD and mention you are attending the Mu Phi Epsilon Convention.

 

SPONSORSHIP opportunities

 

Mu Phi Epsilon’s triennial convention attracts more than two hundred attendees, a mix of professional musicians, music educators, music students, friends and supporters.  Your sponsorship of Convention costs will reach these individuals, members of their chapters, and many more through the Convention program’s posting on the fraternity’s website. 

 

Convention Advertisements

 

Attention chapters!  Please consider purchasing an ad in the 2017 Convention program book.  It’s an ideal way to honor special chapter members, remember those who’ve passed on, or just celebrate being part of Mu Phi Epsilon.  If an ad isn’t within your chapter’s regular budget, consider asking members to sponsor one.  An ad in the convention program will spotlight your chapter and help support the convention financially.

 

 

FAQS


MEALS

Convention registration includes three lunches and three dinners. Guests staying at the Embassy Suites receive a complimentary hot breakfast buffet featuring made-to-order omelets, daily. 

ATTIRE

Daily sessions are casual business attire. It's a good idea to bring a sweater or wrap since hotel meeting rooms can sometimes be chilly. The Embassy Suite's fitness club, pool and Jacuzzi will be available during your free time, so don't forget a swimsuit and/or workout attire. Sunday evening's closing banquet is formal; for women, this means short or long dress and for men, a sport coat or suit.

PHOTOS

Be sure to bring your digital camera. There will be a special Convention web page set up for you to download all your photographs during or after the convention. 

 

PARKING

The Embassy Suites provides complimentary self-parking.

 

GROUND TRANSPORTATION

The Embassy Suites offers a complimentary courtesy shuttle to/from the DFW Airport, 24/7.

  • From the airport to the hotel: Go to the lower level after exiting the baggage claim area. Find the Ground Transportation information phone board. Follow the prompts to Embassy Suites by Hilton DFW North to connect directly with the hotel operator. Proceed to the "Courtesy Shuttle Pickup Only" area. 
  • From hotel to the airport: Shuttles depart every 30 minutes, 24/7. Please be in the lobby area between 5-7 minutes ahead as the shuttle will leave promptly. 

 

ATTENDEES

All Mu Phi Epsilon members are welcomed at the convention. Non-delegate members are invited to attend sessions, meals and concerts after paying the registration fee. Patrons, relatives, and friends may attend meals, concerts and open sessions.

 

INTERNATIONAL COMPETITION FINALS

There is NO admission charge and everyone is encouraged to attend. The finals will be held on Wednesday, July 22 beginning at 2:00 p.m. The Mu Phi Epsilon Foundation will provide transportation for convention attendees.

 

MUSIC DELEGATES

Collegiate Music Delegates must attend all sessions, unless excused for rehearsals by the Music Adviser. Alumni Music Delegates are encouraged to attend sessions, and must be available for scheduled rehearsals. Music Delegates may not serve as Business Delegates.

 

BUSINESS DELEGATES

You must be officially registered before the opening ceremony at 7:30 p.m. on Wednesday, July 22. You must attend all scheduled events listed in the convention program book – all meals, business sessions, and recitals – and you must exercise your voting privilege.  Attendance will be taken. You must remain through the final banquet on Sunday evening, July 26. You may plan to leave Grapevine anytime the following day.
